Accounting Specialist

8 hours per day

12 month position – 260 days per year

 

 

JOB DESCRIPTION:

This position is responsible for a broad range of professional and technical accounting functions related to Accounts Payable, Accounts Receivable, ASB, and Purchasing and reports to the Director of Business Services.

 

RESPONSIBILITIES:

  • Assist the Director in maintaining the District’s chart of accounts within IVEE.
  • Maintain current knowledge of the Accounting Manual for Public School Districts in the State of Washington and ensure all changes are implemented timely.
  • Maintain the District’s vendor master in the Accounts Payable module in IVEE.
  • Review, approve, and revise purchase orders ensuring account codes align with the State Accounting Manual.
  • Lead the processing of all Accounts Payable including entering and auditing invoices, printing warrants, and sending warrant registers to the County Treasurer and Board of Directors.
  • Prepare and maintain the annual 1099s and Unclaimed Property reports for the District.
  • Prepare monthly comp tax reports to the Washington State Department of Revenue.
  • Review and maintain files on all Professional Service Contracts within the Districts General and ASB Fund.
  • Manage all aspects of the District’s Accounts Receivable module in the accounting system including sending invoices and receipting monies.
  • Manage all aspects of the District’s third-party receipting system including all on-line payments.
  • Provide direct support to parents, community members, and staff on all questions related to on-line payments.
  • Reconcile daily bank deposits to the third party receipting system and the District’s general ledger in the accounting system.
  • Deposit all monies collected at the District Office.
  • Process all cash receipts and transmits them to the County Treasurer ensuring accurate reporting by fund.
  • Perform journal entries as necessary while retaining adequate supporting documentation.
  • Ensure accurate and timely reconciliations of general ledger accounts.
  • Prepare and provide various financial reports to district personnel.
  • Assist in establishing policies and procedures pertaining to various aspects of school finance.
  • Develop trainings to district personnel on ASB rules and regulations.
  • Assist in training district personnel on Business Office procedures ensuring compliance with federal, state, and local laws and regulations.
  • Other duties as assigned by the Lead Accountant.

QUALIFICATIONS:

  • Associates Degree in Accounting, Finance or Business or equivalent combination of Education and/or Experience required.  Bachelor’s degree in related field preferred.
  • Minimum one year Professional experience in a related field (Accounting, Finance, or Business Administration) preferred.
  • Experience in fundamental accounting practices and procedures and prior school district experience preferred.
  • Strong understanding and commitment to general accounting principles.
  • High level of attention to detail, initiative and the ability to complete work in an accurate and timely manner.
  • Proficient with variety of computer applications including Microsoft Office, and other web based programs.
  • Ability to identify routine problems and propose feasible solutions, make improvements or take corrective action.
  • Excellent communication skills, verbal and written.
  • Strong interpersonal skills in handling difficult situations.
  • Demonstrated ability to communicate and work effectively with staff, administration and community.
  • Demonstrated ability to work effectively as a team member while using collaborative leadership skills.
  • Ability to build and maintain positive relationships with diverse groups and individuals.
  • Ability to work independently with limited supervision.

 

TERMS OF EMPLOYMENT:

  • 12 Month, 8 Hrs/Day, 260 Days
  • Hourly Range: $29.22-$32.91, Placement Commensurate with Experience
  • Leave and Benefits as outlined by CBA
